Updated September 5, 2026. This is a planning sequence for Americans moving to Spain, not a promise of government processing time. Start with a target arrival month, work backwards and keep a delay scenario alongside the ideal plan.

The critical path at a glance

The month ranges below are suggested planning windows, not official deadlines or estimates of how long your application will take. Start with the current instructions for your route and responsible office, then adjust the calendar around them. The same applies to the first-30-days schedule.

12 to 9 months before your target move

  • Compare the residence routes that match your income and planned activity.
  • Model U.S. and Spanish tax questions with qualified advisers before changing employment, company or investment arrangements.
  • Compare candidate cities using dated quotes. Test a later departure and higher costs; a 15% overrun or a three-month delay are optional examples, not recommended reserves or predicted outcomes.
  • Check passport validity for every applicant.
  • Identify the Spanish consulate responsible for your legal U.S. residence.

Decision gate: do not order time-limited documents simply because the move feels real. First identify the route and the controlling checklist.

9 to 6 months before

  • Open the responsible consulate’s live page for the exact visa or service.
  • Create a document register with issuer, applicant, issue date, validity rule, apostille requirement, translation requirement and status.
  • Separate slow-to-obtain records from short-validity records.
  • Write down any unclear instruction and ask the responsible office a specific question.
  • Choose who owns each family member’s file and how originals will be stored.

6 to 4 months before

  • Compare insurance policies against the wording required by the consulate; do not rely on the sales page alone.
  • Plan temporary accommodation and the cash needed to overlap it with a deposit and first rent.
  • Confirm whether current U.S. banks and brokerages will serve you after becoming resident in Spain.
  • Collect employment, school, pension, income or business evidence specific to your route.
  • Build a contingency reserve that remains untouched in the base budget.

4 to 2 months before

Use this window only if it fits the current instructions for your application. Record the validity rule for each document and the event it is measured against before choosing an order date. Allow for delivery and corrections as well as processing.

  1. Request the required criminal records and civil documents.
  2. Check names, dates and issuing authorities before paying for the next stage.
  3. Obtain the correct apostille from the authority responsible for the issuing jurisdiction.
  4. Confirm which documents and apostilles need translation, and in what order, under the receiving office’s instructions.
  5. Make an indexed working copy and keep originals separate.

Stop condition: if one document is inconsistent, incomplete or too old under the live rules, fix it before finalising the pack.

A document tracker you can copy

Give each document one row: applicant / document / issuing authority / official instruction link / validity rule and reference event / next step / owner / planned date / evidence received. Mark an unknown rule as “not confirmed” instead of guessing. Use the moving checklist to keep document work beside your payment plan.

Illustrative example: your appointment changes after you have ordered a record. Before moving the travel date, check whether that record will still satisfy the office’s rule at the relevant event. If you cannot establish that from the official instructions, ask the office before paying for the next step. This example assumes no particular validity period or processing time.

The FBI explains its request methods, and the U.S. Department of State explains document authentication. Consulted September 5, 2026. Those pages cover their own services; they do not establish what your Spanish application requires.

Final preparation and submission

  • Reopen the live checklist and compare it line by line with the physical file.
  • Prepare separate applicant packs where required.
  • Confirm current fee, payment method, photo specification, appointment provider and passport-return method.
  • Record appointment details and keep proof of submission.
  • Do not resign, terminate a lease, sell essential property or book non-refundable travel against an estimated decision date.

While the application is pending

Keep two calendars: the official case events and your private contingency decisions. Government targets are not personal guarantees. Decide in advance when you would extend housing, change flights, refresh evidence or postpone the move.

After approval and before travel

  • Check every visa field, validity date and permitted entry window.
  • Book temporary accommodation before attempting a long-term lease from abroad.
  • Carry the required originals and essential evidence in hand luggage.
  • Prepare secure digital copies, emergency contacts and a first-week appointment list.
  • Confirm what must be completed after entry for your specific status.

The six-page printable pack contains a route decision table, a 12-month planning timeline, a first-year budget, document tracker and first-30-days checklist. No email is required.

Planning information only. Verify route-specific timing and validity rules with the responsible Spanish authority.

Insurance is the fastest of the four required items to obtain, which is why it gets left late and then goes wrong. Buy it once the appointment date is visible, and check it against the requirement the consulate actually applies.

Common questions

When should I start planning a move to Spain?

Work backwards from a target arrival month. The criminal record certificate leads everything because it is the slowest item, and documents with short validity are ordered last, once the appointment date is visible.

What is the first document to order?

The FBI Identity History Summary. It is the slowest item in the move and the apostille, the sworn translation and the consular appointment all wait behind it.

Why can I not order all the documents at once?

Because two clocks run against each other. Some documents are slow to obtain and do not expire; others are issued quickly but have a short validity. Ordering the short-lived ones early means they expire before the appointment.

Do processing times differ between Spanish consulates?

Requirements, appointment systems and document formats vary between offices. Use the published checklist of the consulate with jurisdiction over your address and nothing else.
