How to work through this
The order matters more than the list. Documents block everything behind them, so start there even if the rest feels more urgent. The consulate covering your state is the only body that can tell you what it requires from you today, so contact them early and in writing.
Nothing here is a legal requirement we are asserting. Every item is a step people in this process are documented as taking. Confirm what applies to you with the competent authority.
Financial checklist for moving to Spain
Build a dated payment plan before you commit to the move. Keep three totals separate: money needed before departure, spending during your first month, and a reserve for unexpected costs. This is a planning worksheet, not a visa funding requirement or a recommended savings amount.
- List the costs you still owe in the United States. Write down final rent or mortgage payments, utilities, storage, insurance and any subscriptions you intend to keep. Add cancellation dates and mark which bills may overlap with spending in Spain.
- Request quotes for the move itself. Record flights, luggage, shipping, temporary accommodation and transport from the airport. For each quote, note its currency, expiry date, what is included and whether you can cancel it. Keep unconfirmed estimates visibly separate from booked costs.
- Give documents their own budget. Create lines for records, authentication, translations, delivery and travel to appointments where relevant to your route. Use the current instructions from your responsible consulate to determine which steps apply. Leave an unknown amount blank with an owner and a date to check it.
- Plan when money must be available. Put expected income and payment dates on the same calendar. Do not treat a deposit you hope to recover as available money before its return is confirmed. The moving cost calculator can help organise estimates; your dated quotes should determine the final budget.
- Check access to your accounts. Ask each provider about using the account after a change of residence, identity checks, transfer limits, fees and access to verification messages abroad. Record the answers rather than assuming that one provider’s terms apply to another. Use the banking setup guide to prepare those questions.
- Separate first-month housing costs from ongoing rent. List temporary accommodation, the payments requested for a proposed tenancy and any setup purchases. Obtain the written terms before treating a payment as refundable. Follow the renting guide for the checks to make before committing.
- Prepare questions for insurance and tax providers. Note the dates you need cover, what a quote includes and when payment would be due. Gather your existing records for a qualified adviser; this worksheet does not decide your tax residence or insurance eligibility. Start with the healthcare planning guide and U.S. tax preparation guide.
- Write down a contingency scenario. Recalculate your plan with a later departure, a longer temporary stay or delayed income. Choose a reserve that fits your household and keep it separate from money already committed to the move. The CFPB explains that an emergency fund’s size depends on your circumstances and that cash-flow planning includes the timing of income and expenses.
A payment record you can copy
For each item, record: expense / amount / currency / due date / paid or estimated / refund terms / source or quote / next check date. Add a household member responsible for the next step. Review unresolved amounts before making a non-refundable booking.
